Job Description
We are recruiting for a fast growing and highly successful financial city based company. Global and innovative. This is a new role to support the Director of Mergers and Acquisitions. Previous PA or EA or team PA experience and needed to join this supportive team. Very good career progression prospects.

In this role you will

Complex diary management:

* Proactively manage intense and ever-changing diaries for Director, requiring interaction with internal and external stakeholders on a regular basis.

* Coordination across multiple time zones within a fast paced environment

* Ensure Director is well prepared for meetings; preparing agendas and meeting papers as necessary.

* Some personal diary management as required.

Global travel management:

* Work closely with EA to CEO to ensure cohesion of all potential business trips

* Facilitate booking of travel and hotel arrangements for complex Business trips/ events, including visa requirements

* Organise and schedule meetings for trip itinerary

* Ability to react and action last minute trip changes in a calm and efficient manner

Correspondence management:

* Monitor and process all correspondence in a timely manner, ensuring all incoming correspondence is dealt with by or on behalf of Director.

* Managing and filing email correspondence as required.

Drive the overall productivity and time effectiveness of the Director, working with the wider M&A team to ensure team coordination.

Working alongside CoSec department to coordinate regulatory requirements, including collation of director signatories for M&A and Board related activities

Support with creation of client packs and other documents, including formatting, printing, binding and distribution for Director and wider team as required.

Collating and processing of expenses in line with Company Policy.

Organising various events for M&A team

Work within the wider Admin department on ad hoc projects and provide additional support to the team eg. reception, holiday cover as necessary.

To assist in any other reasonable duties as required.

Skills/ Attributes Required

• Experienced Personal Assistant at Senior Management level or above.

• Smart, bright, and engaging individual with enthusiasm for their role and the Company.

• Strong character and sense of humour.

• A flexible, pro-active approach to work including the ability to prioritise and re-prioritise, adaptable to change.

• Strong organizational, planning and communication skills, both written and verbal.

• Excellent attention to detail, with the ability to maintain a high level of accuracy.

• Ability to take ownership and responsibility for tasks, with enthusiasm and drive.

• Ability to take initiative when necessary and remain focused under pressure.

• Trustworthy; ability to maintain confidentiality and discretion at all times.

• Effective team player within a valued and close knit team, with a can-do, collaborative attitude.

• Flexibility to work additional/ out of hours as necessary to fulfil the requirements of the role, and to take on further responsibilities as required by the Company.

• Excellent IT skills, with intermediate/ advanced Microsoft Office Outlook, Word, Excel and PowerPoint abilities
