Job Description
A fast growing global multi-manager hedge fund adviser is looking for a ambitious Personal Assistant to join their Mayfair office.

The ideal candidate will be a self-starting team player willing to wear multiple hats to support the London office and team members. You will be experienced in handling a wide range of administrative and office management tasks and be able to work independently with minimal direction. You must be personable, professional, well organized, flexible and enjoy the challenges of providing varying levels of administrative support to a team of hedge fund professionals in a fast-paced, entrepreneurial environment.

Duties & Responsibilities

• Coordinate and maintain scheduling of Outlook calendar and booking of meetings (using Zoom/Teams/conference lines), including making and confirming appointments for the EMEA team both internally and externally.
• Booking travel for the EMEA team in coordination with global Administrative team.
• Responsible for managing invoices and expenses in a timely manner, in collaboration with the Finance team.
• Responsible for managing relationship and communications with building management, greeting of guests and conference room set up, as needed.
• Responsible for handling event planning for team building events and other related company sponsored events.
• Support the process of adding data to the firmwide Research Management System (Factset RMS/Code Red).
• Support EMEA team in updating their Manager Research Pipeline on a weekly basis.
• Support EMEA team in creating Office (Excel, Word,PowerPoint) documents for use by internal and external recipients.
• Some assistance with research tasks such as retrieving data from Research Management System and creating reports in Excel, as needed.
• Prioritize and manage multiple tasks simultaneously; problem solve and follow through on issues in a timely manner.
• Assistance with creating and tracking legal documents in collaboration with the Legal and Compliance team.
• Work with the global Administrative team and provide additional support with other ad hoc projects as needed.

Qualifications

• 5+ years of relevant administrative experience, preferably in a hedge fund, private equity firm, asset management company or investment bank.
• Highly personable and professional manner and assertive demeanor required.
• Excellent organizational aptitude, time management skills, detail orientation, ability to multi-task, outstanding work ethic and strong interpersonal skills required.
• Working knowledge of Zoom and MS Office, including Outlook, Word, Excel, and PowerPoint preferred.
• A desire to succeed and demonstrate support in an entrepreneurial environment
