Job Description
We have a great opportunity to join our client, an exciting and growing Amersham based software business. This is a varied role with access to a wide range of software tools and plenty of opportunities to learn new skills and progress as the business grows.
The role will cover all aspects of the day to day running of the finance dept, handling a wide range of billing and supplier queries helping release the directors for other activities.
Within the role you will also deal with a wide range of administrative tasks that don’t fit neatly into other team responsibilities. In addition to the finance activities, there will be a need to assist with team coordination activities; ensuring meetings between (often remote) colleagues are run efficiently and monitoring if process-based tasks are being picked up by the appropriate team.
Key Skills
* Well-organised, trustworthy and reliable individual with great attention to detail
* Comfortable following processes, and happy dealing directly with customers by phone or email
* Ability to work closely with our directors as we grow our team
* Experienced with day-to-day use of computers and tools like Excel
* An ability to learn and assist with our finance, billing and other related systems is essential
* Experience in finance, project management, team co-ordination or other related process-based roles is advantageous
Finance Tasks
* Bank account reconciliation in Xero
* Respond to customer queries via billing/finance inbox, co-ordinating with team for more complex queries
* Raising new customer invoices using our subscription billing platform (Chargebee), checking for data accuracy from sales team
* Existing customer usage uploads
* Accounts receivable dunning
* Monitoring direct debit mandate and credit card updates
* Accounts payable
* Monthly payroll payments and reconciliation
* Take on some month-end processes from part-time Finance Director, eg. calculating KPIs, accruals and pre-payments, stock count adjustments and forecasting
* Manage VAT and corporation tax returns and payments
Team co-ordination and administration tasks
* Presenting a friendly face for the company, assisting in answering inbound phone calls and emails from clients, suppliers and partners
* Opening mail addressed to the office and triaging appropriately, and occasionally assisting with sending physical goods from Amersham office
* Managing the schedule of team meetings and ensuring that inputs are gathered, PowerPoints etc. are assembled ahead of time
* Following up on meetings with minutes and actions
* Helping the team prepare for events such as conferences etc- logistical planning, form-filling, organising rosters etc
* Facilitation of internal and external online events
* Prepare information packs for new corporate customers (e.g. services offered, insurances, forms, declarations, setting up in compliance systems etc)
* Assist with efficiency of remote/offshore colleagues, eg. monitoring work hours and location information
Benefits
* Part-time Flexibility – 20 hours a week, with hours spread evenly over at least 4 days during normal office hours
* Salary – up to £30,000 (Pro Rata)
* 25 days holiday (Pro Rata)
* Potential to increase hours as the business grows
* A qualified accountant who has covered this role recently will be available up to 2 days a month to assist in month-end accounting activities, and will be able to act as a sounding board to help with more complex finance queries if required
