Job Description
A fantastic opportunity for a pro active Personal Assistant to join a well established advisory firm based in Soho that provides M&A and capital advisory services to high growth companies in sustainability.

1. Summary of role

1.1 As the PA & General Assistant you will support the Co-Founders and assist the team with building the business
1.2 This is a diverse role supporting and reporting to the Co-Founders of the business, covering all areas of business administration including liaising with clients on a daily basis

2. Key Responsibilities

Co-Founder Support

2.1 Proactive diary management and regular communication of updates
2.2 Proactively identify matters requiring follow-up and draw to the attention of the Co-Founders
2.3 Develop rapport with clients and their PAs to further develop the client relationships
2.4 Provide, collate and carry out basic analysis of information in response to routine queries
2.5 Coordinate travel and accommodation, book flights, cars, rail tickets etc
2.6 Produce on brand documents such as letters, proposals, spreadsheets and presentations from drafts to a high level of presentation using various MS Office packages
2.7 Assist with administration such as HR, IT, Compliance and other operational matters
2.8 Carry out office administrative duties such as binding and photocopying

Office Administration

2.9 Maintain a clean, orderly and representative office and ensure it runs smoothly, liaising with the building management as required
2.10 Ensure office security including managing staff key cards
2.11 Liaise with relevant suppliers and third parties as requested
2.12 Ensure office equipment and supplies are maintained at the right levels
2.13 When requested, meet office visitors politely, ensure attendees utilise the correct rooms and provide them with drinks, and notify employees their visitors have arrived
2.14 Manage mail, cleaning and waste (confidential and otherwise), and liaising with couriers
2.15 Assist in maintaining and updating the database of contacts

Marketing and Events

2.16 Provide support for the firm’s events including research breakfasts, strategy sessions and other internal and external events
2.17 Assist in the execution of the firms biannual event – before, after and during the event itself – including:
2.17.1 Supporting the event manager as reasonably required
2.17.2 Inviting and co-ordinating guests in collaboration with the team
2.17.3 The venue and other infrastructure eg menus, audio visual and ancillary services
2.17.4 Brochures and other ancillary marketing material
2.17.5 Guiding attendees at the event
2.18 Assist the marketing team in establishing and maintaining a social media presence

General

2.19 Co-ordinate the preparation of weekly team packs
2.20 Participate in team meetings and projects with an eye to improving processes
2.21 Prioritise work and projects against time and importance through exercise of judgement and consultation with line managers
2.22 Offer assistance to other team members when reasonably necessary
2.23 Continuously challenge systems and procedures and proactively suggest ways in which the organisation can improve its operations
2.24 Such duties as line management may from time to time properly assign
