Job Description
Practice Supervisor

Location: Bath

Position: Full Time /Permanent

Reports to: General Practice Manager/Senior Manager

Key Purpose

To provide a supportive role to the management team when working with their portfolio of clients across a range of industry sectors, including sole-traders, partnerships, and limited companies. This role will be reporting directly to the General Practice management team and you will have the opportunity to take a lead role in overseeing the team’s day to day performance and development. You will take an active and supportive role in the financial management of the portfolio to include, recovery rates, billing, debt and WIP management.

You are responsible for ensuring that our clients receive the best possible client experience and will be a primary contact for their day-to-day queries. You need to ensure the staff you supervise are coached, developed, and supported to thrive within their roles.

Key Objectives  

Conducting initial file reviews for the managerial team to ensure a high quality and complete file is provided for final manager review.

Take ownership of assignments given, for example with audits this would include timely review as to the state of the audit files and interject where the team below may need help and support to provide timely delivery.

Get involved in ad hoc advisory work as it arises, particularly in areas that clients require support typically outside of the usual GP remit for example corporate tax, personal tax, BI.

Ensuring that all accounts & tax returns are filed with the relevant authorities on time for your portfolio and assisting with the monitoring of filing deadlines within your team.

Complete ownership of your own time and work with effective reporting and communication with your managers.

Advisory emails to be provided on a timely basis.

Help managers with their clients, picking up value add potential on clients when in contact with them.

Take advisory work off managers and liaise with clients on a manager’s behalf.

Should you have a portfolio of clients, organise pre-year-end planning to discuss the client financial year and assist with tax planning opportunities.

Start to develop relationships with clients and ability to provide good service to them.

Start to build a client portfolio where you become the principle contact for that client.

Have a detailed knowledge of the review process on internal softwares.

Have the ability to obtain reports and financial information from client software to aid meetings.

Consistently demonstrating going the extra mile for clients to exceed their client service expectations.

Review AML documentation prepared by junior staff. Co-ordinate the completion of AML documentation for new clients.

Review the assignment to a high standard, resolving all material issues before it is passed up for further review.

Advise and support junior staff with compliance matters.

Complete complex VAT returns for review as well as initial review and compliance matters with clients on more straight forwards VAT returns.

Respond to client queries promptly dealing with accounts matters themselves.

Draft communications for the management team on adhoc/advice matters.

Prepare external communications and liaise with the Manager/Partner on matters containing advice.

Liaise with clients and HMRC on tax and advice matters.

Support and develop junior members of the team.

Support management with their portfolio as well as looking over any portfolio clients under the supervisor’s control.

Plan assignments in accordance with the firm's procedures, review budgets to ensure they are realistic in terms of costs and time allocated in the planner.

Start representing the firm externally at networking events and build relationships.

Participate in working groups within the firm to develop and direct training needs within the firm. Maintain your technical knowledge through CPD.

Assist with administrative duties as required by the firm.

Demonstrate commercial awareness and identify opportunities to add value.

Discuss additional fees with clients, for example by preparing fee quotes or liaising directly with the client.

Raise bills in connection with your work and adhoc as required by the management team.

Take an active role in debt management on your portfolio. Monitor WIP on your portfolio, ensuring regular billing as appropriate.

More active role in team meetings and discussions.

Maintain daily contact with your team.

Familiarisation with personal and business tax regulations, plus VAT and PAYE.

Supervisory experience of accounts staff.

Full driving licence, plus unrestricted access to a car.

Strong interpersonal skills in dealing with both clients, team members and colleagues.

Excellent communication skills.

Qualifications

Preferred ACA / ACCA qualified.

1 year + or equivalent experience.
