Job Description
Provide extensive 1:1 support for President International for a 14 months maternity cover role.
This role is critical to supporting the President with scheduling, organization and administrative tasks; as well as some wider support to key business functions.
In this role you will
Complex Diary Management
* Overall responsibility for the President’s annual calendar
* Strong gatekeeper for a very in demand executive with limited availability
* Proactively manage intense and ever-changing diary for President, within a fast paced environment.
* Continuous coordination across multiple time zones.
* Work with CoSec teams to align President’s annual schedule with various Board Meetings
* Personal diary management also required
Global Travel Management
* Manage and coordinate a busy travel schedule across the whole year, working with internal and external stakeholders whilst maintaining high levels of confidentiality
* Ensure comprehensive travel plans don’t negatively impact meetings and resolve where necessary
* Actively research visa and entry requirements in advance of all travel and action accordingly
* Book commercial travel using a TMC and private travel using a charter company
* Ensure complex meeting schedules are coordinated for all trips and communicated effectively
* Work alongside PA to M&A team, and wider admin team when required, to ensure all travel is booked cohesively
Email Management
* Continuous management of President’s inbox
* Flag important emails requiring President’s attention
* Respond to emails where necessary
* Create and manage filing system
Event Coordination
Work with wider Admin team to support and coordinate internal and external office events as required
Organise corporate events as and when required
Organise and attend International Agency Partner Conferences biannually – locations to be determined

Work with event management company to organise biannual event attended by all agency partners

Source venue/ location and oversee all logistic details including travel, schedules and communication
*
Coordinate minutes during the event, communication post meeting and ongoing management of action points
Monte Carlo
▪ To provide support for Execs meetings during Rendezvous du Septembre Conference
Communication
* Draft, review and send communications on behalf of President
* Proactively manage communication schedule
Process Business Expenses using Certify in line with Company Policy
Wider Business Support
* Work within the wider Admin department on ad hoc projects and provide additional support to the team eg. holiday cover as necessary.
* Work with various business functions to ensure all working in line with overall Business strategy
* Key contact between President and wider business functions
Personal Work as and when required
