2.Main Purpose of Job
Working within the Property Accounting team, the ideal candidate will be responsible for the maintenance of the accounting for Refuse, Service Charge, Insurance, Telephones and Business Rates. This will include calculating the amounts to be charged to the income statement on a periodic basis in line with contractual obligations. This would be on an accruals and prepayments basis depending on the landlords billing mechanism. The ideal candidate would also be responsible for ensuring the accuracy & timely payment of contractual liabilities for these areas and work closely with the landlord to resolve any outstanding balances on their account and resolve costs that do not meet the contractual deals. The ideal candidate would have strong balance sheet and vendor reconciliation skills and be able to complete their area of responsibility with minimal support when dealing with clients and reconciling items are being investigated.
3.Main Duties
* Calculate accruals and prepayments on a monthly basis for Rates, Service Charge, Insurance, Refuse and Telephone charges in line with accounting guidelines.
* Preparation of a period end review for the above areas each period, with commentary on variances to budget and forecast, highlighting any issues which require further investigation.
* Preparation of the monthly Balance Sheet Reconciliations for Rates, Service Charge, Insurance, Refuse and Telephones including aged balance and taking action on any reconciling items within the account within the following period.
* Maintenance of Cashflow forecast file on a weekly basis for the quarter ahead
* Responsible for the accurate validation and timely payment of Rates, Service Charge, Insurance and Refuse charges
* Complete client statement reconciliations in particular for our largest landlords and resolve outstanding items on the statement including ensuring there is no aged debt on vendor balances.
* Collation and review of service charge annual budgets and reconciliations from managing agents.
* Be accountable for accounting for opening and closures in the business and appropriately ensuring the correct accruals are being made and that any items being invoiced not in line with this are flagged and resolved with the vendor promptly
* Respond to queries from landlords and internal stakeholders.
* Liaison with Property legal department on key contractual terms surrounding Service Charge & Insurance
* Support the Property Team Leader in audit preparation for the annual & interim audits
4.Person Specification
Essential:
* Educated to degree level (preferably Accounting/Maths) or studying AAT
* Strong Excel skills including pivots, vlookup and SUMIF function
* Experience in reconciling balance sheet accounts and client statements
* Previous experience of working on property accounts
* Understanding of accruals and prepayments
* Quality conscious/ Attention to detail
* Keen, enthusiastic and questioning approach
* Positive ”Can-do” attitude
* Accustomed to working to tight deadlines
* Good communication skills – both verbal and written
